The Real Estate Council of Ontario (RECO) is seeking an Insurance Coordinator for our Insurance Programs team. We have one permanent position available to start immediately.

The role

Under the direction of the Director, Insurance Programs, and reporting to the Team Lead, Insurance Administrator, handle the risk reporting and insurance related issues and tasks associated with the Professional Liability Insurance Program administered by RECO.  Implement processes and procedures for the registrant’s program.  

Working with stakeholders, maintaining relationships (RECO team, registrants, consumers, insurance consultants, brokers, adjusters, lawyers, underwriters) ensure accurate and timely collection, reports and preparation for remittance of premiums, claims reporting, support monitoring of insurance risks, and exchange necessary information with stakeholders.  Recommend and support system/process improvements. Monitor the insurance regulatory and real estate industry environments for impacts to the programs.

Position responsibilities

Insurance renewal operations support

  • Assist in the coordination and the implementation and wind up of the insurance renewal and mid-term premium collection processes for registrants insured under the insurance program with stakeholders and RECO team members (IT, Finance, External Relations, Client Services, Registration).  Support internal and external collection communications content, test systems and processes, process refunds
  • Support the Administrator with architecture documentation to record department processes and workflow, maintaining historical and current processes.
  • Conduct tests and implement business requirements and system updates with the Administrator and IT related to system enhancements, updates and efficiencies for department processes.
  • Record department statistical records allowing for risk-based decision making and provision of reports.
  • Assist with insurance payment reconciliations monthly or more frequently as necessary. Ensuring accuracy with the Finance team for reporting and remittance of premiums to the insurers. 

Execution

  • Handle daily inquiries and complaints related to the insurance program received directly or elevated by the first contact service team. Identify the type of insurance claim and provide clear instructions for the reporting of insurance claims.  
  • Identify registration positions, conduct payment investigations, and provide clear instructions for the making or refunding of insurance payments.  
  • Refer to Administrator when necessary or according to process
  • Issue, compose, review and/or edit insurance related documentation in response to stakeholders ensuring completeness, branding compliance and accuracy.
  • Refer to Administrator when necessary or according to process.  
  • Monitor and update the insurance postings and materials on RECO’s web site, intranet, MyWeb and insurer’s web site.
  • Coordinate insurance education course updates with education team. Process department invoices for Director approval
  • Assist with the corporate insurance and ERIM programs as necessary including taking minutes and producing reports
  • Provide creative support with the development of department processes. Keep Administrator and Director apprised of potential problems.
  • Provide back up to the Insurance Administrator and Director.
  • Other duties as assigned.

Qualifications and experience

  • Minimum 2 years of experience supporting a commercial insurance program in a regulatory or professional association environment.
  • Understanding of a regulatory environment and operation of a mandatory insurance program.
  • Experienced and comfortable dealing courteously with stakeholders, ability to project a business-like image and deal professionally and diplomatically with challenging situations which may be difficult at times.
  • Minimum Post-secondary education, Certified Insurance Professional courses or equivalent, project management certification an asset, familiar with the running of commercial liability insurance programs in a Managing General Agency.
  • Strong organizational skills, attention to detail and an ability to manage competing priorities.
  • Ability to function independently or in a team environment.
  • Ability to handle confidential information appropriately.
