The Real Estate Council of Ontario (RECO) is seeking a Litigation Specialist. We have one permanent position available to start immediately.

The role

Reporting to the Head, Legal Services, the Litigation Specialist provides senior-level legal administrative and litigation support to RECO's Legal Services team. The role is responsible for coordinating legal workflows, managing case files and document management systems, drafting legal documentation, monitoring litigation milestones and deadlines, tracking, reporting on and ensuring the efficient administration of all litigation matters.

The Litigation Specialist serves as the central coordinator for legal operations, supporting lawyers through all stages of litigation while leading the maintenance of accurate case records, managing legal documentation, coordinating client communications, and ensuring legal matters progress efficiently and in accordance with departmental performance standards and court and tribunal requirements.

Position responsibilities

Litigation and Case Management

  • Coordinate the administration of litigation files from commencement through resolution.
  • Maintain comprehensive electronic case files, document repositories, and legal records.
  • Track court dates, limitation periods, filing deadlines, prehearing conferences, mediations, hearings, and settlements.
  • Monitor assigned legal work and provide status updates to lawyers and the Head, Legal Services.
  • Coordinate file workflows and ensure legal matters progress efficiently.
  • Ensure legal documentation is complete, accurate, and maintained in accordance with corporate and legal standards.

Legal Document Preparation 

  • Draft, prepare, format, and maintain legal documents, including:
    • Pleadings
    • Affidavits
    • Settlement Agreements
    • Motion Records
    • Court and Tribunal Forms
    • Correspondence
    • Hearing Briefs
    • Books of Authorities
  • Coordinate document execution, filing, and service.
  • Review legal documents for completeness, formatting, and compliance with departmental standards and applicable court and tribunal requirements.
  • Prepare hearing and mediation materials.

Legal and Litigation Support

  • Provide proactive litigation support to Legal Counsel throughout the lifecycle of legal matters.
  • Coordinate document production, disclosure, and prehearing materials.
  • Schedule mediations, prehearings, hearings, and meetings with internal and external stakeholders.
  • Assist with hearing preparation and logistical coordination.
  • Compile legal research materials and supporting documentation as requested.
  • Support file management for external counsel where applicable.

Stakeholder Coordination

  • Act as a primary administrative contact internal and external counsel, tribunals, courts, regulators, and service providers.
  • Coordinate communications regarding legal proceedings, scheduling, and document requests.
  • Ensure timely responses to inquiries and requests while maintaining strict confidentiality.
  • Foster positive working relationships with internal and external stakeholders.

Legal Operations & Continuous Improvement

  • Support the ongoing improvement of legal administrative processes and case management practices.
  • Lead departmental utilization of case management and electronic document software.
  • Maintain legal precedents, templates, and document libraries.
  • Assist with onboarding new legal team members and sharing best practices.
  • Recommend enhancements to legal technology, document management, and workflow efficiency.

Qualifications and experience

  • Minimum five years of progressive experience in litigation support within a law firm, tribunal, regulator, or in-house legal department.
  • Licensed Paralegal in good standing with the Law Society of Ontario (required).
  • Diploma or degree in Paralegal Studies, Legal Administration, Law Clerk, or a related discipline.
  • Extensive experience drafting litigation documentation.
  • Experience managing multiple concurrent litigation files.
  • Demonstrated experience coordinating legal operations and supporting lawyers in complex litigation matters.
  • Strong client and stakeholder management experience.
