The Real Estate Council of Ontario (RECO) is seeking a Coordinator, Assessment Services. We have two (2) permanent positions available to start immediately.

The role
The Coordinator, Assessment Services at the Real Estate Council of Ontario (RECO) is a pivotal role ensuring the seamless administration and security of RECO’s registration education examinations. This position focuses on safeguarding exam integrity by meticulously enforcing policies, monitoring compliance, and supporting investigations of misconduct incidents with a proactive and systematic approach. The ideal candidate will thrive in a dynamic environment where attention to detail, collaboration with diverse stakeholders—including vendors, learners, and RECO’s internal teams—and ethical decision-making are essential. Beyond administration, this role emphasizes active engagement in improving exam protocols, maintaining regulatory standards, and ensuring exceptional experience for all involved parties.
Currently, RECO’s regulatory assessments are executed end-to-end by a third-party exam vendor. This includes exam development, in-person and online exam delivery, exam security, and learner support. RECO’s role is to oversee the operations of the exam vendor aligned to their Statement of Work, industry best practice and regulatory standards. In addition, RECO is responsible for overseeing the conduct of its learners and to take action to safeguard its examination program. The Coordinator, Assessment Services plays a key role in supporting RECO’s administration activities as they relate to exam integrity and regulatory compliance.
Position responsibilities
Exam administration
- Utilize the vendor’s platform to collect and review exam session data, candidate activity, and system-generated flags.
- Track and coordinate questions, decision logs, risks and issues from various internal and external stakeholders.
- Develops a thorough familiarity with and understanding of vendor Statement of Work and exam delivery requirements as well as the contractual obligations of RECO’s Exam Vendor.
- Monitors vendors processes for adherence to their contractual obligations in activities related to Exam Integrity and Compliance, and flags any issues, concerns and/or risks for review by Supervisor.
Incident monitoring & investigation support
- Review exam sessions, any associated flags/incident reports, and data to identify risks or next steps in accordance with RECO policies.
- During exam sessions reviews, proactively monitor for any signs of rule violations or technical issues.
- Document and report any exam irregularities, such as academic dishonesty (cheating, proxy testing) or content breaches.
- Support the investigation of incidents by gathering evidence (incident reports, video footage, forensic psychometric data) and prepare detailed reports for review by Supervisor and Registrar’s Designate.
- Recommend follow-up actions in line with the RECO’s exam policies (e.g. invalidating results or initiating misconduct sanctions).
Security and integrity enforcement
- Monitor compliance with exam rules and security protocols.
- Review exam sessions on vendor’s platform and ensure adherence to security best practices.
- Monitor web and social media platforms for exam-related content breaches, cheating discussions, or leaked materials, and escalate findings in accordance with internal protocols.
- Stakeholder Communication and Engagement:
- Serves as the primary liaison with sanctioned learners, communicating RECO’s sanction decisions. Also handles and documents grievances related to sanction decisions.
- Documents grievances related to exam administration, results and exam content, and escalates to relevant stakeholders (eg. Supervisor, Assessment Services & Psychometrics).
- Facilitates effective communication between learners and internal teams, such as the exam vendor and educational Designates, to investigate issues and escalate unresolved matters as necessary.
- Responds to inquiries and resolves issues raised by vendor and escalates as required to Supervisor or other stakeholders.
Audit documentation management
- Participate in routine audits of exam program, to ensure adherence to exam policies and procedures.
- Maintain thorough and organized audit documentation, tracks findings, and compile information for the team’s annual program audit activities.
Data management and audit support
- Maintain accurate records of exam performance data, vendor summary reports, survey results, and other documents as needed.
- In addition, monitors trends in misconduct cases and recommends follow-up with educational designates, where required.
- Uses vendor’s exam administration platform to track data.
- Documents all interactions with vendor and keeps documentation up to date, filed promptly and well organized.
- Supports with routine audits of exam data and processes to detect any inconsistencies or security vulnerabilities, ensuring the integrity of exam results.
- Processes confidential information in accordance with privacy and data protection guidelines.
Collaboration and continuous improvement
- Assist in reviewing and improving exam integrity measures – for example, contributing ideas on new proctoring technologies or updated policies to combat emerging cheating methods.
- Participate in quarterly/ bi-annual analyses to identify lessons learned and recommend enhancements to future exam administrations.
- Collaborate with internal teams to coordinate the day-to-day operational requirements of RECO’s exams. For example, coordinate with IT teams for annual document reviews.
Exam program content management
- Coordinate the maintenance and update of all exam-related content, ensuring timely delivery and accurate information in all Exam Program Content. This includes candidate instructions, exam descriptions, FAQs, guidelines, and communications.
- Collaborate with internal teams and vendors to ensure materials reflect the latest policies, procedures, and system changes, and are clear, accurate, and accessible to all stakeholders.
Other duties as assigned
- Provides vacation coverage for other Coordinators and/or Supervisor as needed.
- Provides formal status updates/reports on all work and initiatives to Supervisor, Assessment Services & Psychometrics and/or Manager, Education Operations.
- Other duties that are reasonably within the scope of the position, as assigned by Supervisor.
Qualifications
- Bachelor’s degree in business administration, education, law, or a related field.
- An equivalent college diploma with relevant experience will be considered.
- Advanced training or coursework in assessment, compliance, or project management is an asset.
- 2–5 years of experience in higher education administration, operations, or regulatory compliance.
- Experience coordinating high-stakes events or programs – especially in a professional certification, academic testing, or licensing context – is strongly preferred.
- Prior experience as a test center administrator, proctor, or compliance coordinator in a regulated environment would be an advantage.
- Possession of relevant certifications is considered an asset.
- Proficiency with office productivity software and experience using exam administration systems or learning management systems.
- Strong aptitude for data analysis and reporting (e.g., identifying patterns in results or incidents).
- Comfortable working with technology and able to quickly learn and navigate new compliance systems and reporting tools.
- Familiarity with exam integrity standards and practices – such as identity verification, security camera monitoring, statistical flagging of anomalous results, etc.
- Knowledge of relevant laws and guidelines (e.g., privacy legislation, accessibility/accommodation regulations, anti-cheating policies, academic integrity policies).
- Understanding of psychometric principles and how security breaches can impact exam validity is a plus.
- Strong business writing skills.
- High level of integrity and ethical judgment – able to handle confidential material and sensitive situations with honesty and discretion.
- Excellent attention to detail and observational skills to catch irregularities. Strong communication skills, both written and oral, for communication with vendor, educational institutions, and learners.
- Ability to successfully manage calls with aggressive learners.
- Effective organizational and time-management skills to coordinate multiple exam events and deadlines simultaneously.
- Collaboration and interpersonal skills to work with a diverse group of stakeholders.
